Privacy Policy

1. About this policy

SquadPulse is the operator of the SquadPulse service. This Privacy Policy explains how SquadPulse handles information when you use the SquadPulse Discord bot and web dashboard. SquadPulse is an independent community project and is not affiliated with, endorsed by, or sponsored by Discord.

2. Information SquadPulse processes

SquadPulse processes only information needed to operate its current features. This can include:

• Discord server IDs and server names.
• Discord user IDs and usernames for event participation, attendance and leaderboard/statistics features.
• Event information such as event titles, games, host/creator IDs, signup status, teams, winners, timestamps, and Discord channel/message IDs used to operate events.
• Server settings configured through SquadPulse, such as default team size, player limits, channel mode and room-cleanup preferences.
• When you sign in to the dashboard with Discord OAuth, Discord provides basic account identity and the list of servers available to your account so SquadPulse can determine which installed servers you are allowed to manage.
• Session information needed to keep you signed in to the dashboard.

3. How information is used

Information is used to provide SquadPulse features, create and manage gaming events and temporary squad rooms, show server-specific dashboards, statistics and leaderboards, remember server settings, prevent unauthorised dashboard access, diagnose errors, and maintain the service.

4. Discord OAuth and account access

SquadPulse currently requests the Discord OAuth scopes needed for basic identity and server-list access. SquadPulse does not ask for your Discord password. OAuth access is used to identify you and determine which SquadPulse servers you can manage. Dashboard login information is stored in a server-side session.

5. Cookies and sessions

The dashboard uses a session cookie to keep you signed in and protect your dashboard session. It is used for service functionality rather than advertising. You can end the current session by logging out; browser settings can also remove cookies.

6. Sharing and third parties

SquadPulse does not sell your personal information. Information may be processed through services necessary to operate SquadPulse, including Discord and the infrastructure used to host the bot, website and database. Optional donations are handled by Ko-fi under Ko-fi's own terms and privacy practices; SquadPulse does not need your payment-card details to provide its free features.

7. Retention and deletion

Event, participation, server-setting and related records may remain in the SquadPulse database while needed for features such as history, statistics and leaderboards, or for service administration. Temporary squad channels are removed according to event cleanup settings. If a server removes SquadPulse, some historical database records may remain until they are deleted as part of maintenance or a valid deletion request.

8. Your choices and requests

You can stop using SquadPulse at any time and server administrators can remove the bot from their Discord server. For questions or requests concerning SquadPulse data, including a request to delete applicable stored data, contact the SquadPulse team through the official SquadPulse Discord community. We may need enough information to verify that you are authorised to make a request concerning a user or server.

9. Security

Reasonable technical measures are used to protect SquadPulse and restrict access to its systems. No online service can guarantee absolute security, so users and server administrators should also protect their Discord accounts and permissions.

10. Children

SquadPulse is intended for use through Discord and is not designed to knowingly collect information from anyone who is not permitted to use Discord or SquadPulse under applicable rules and law.

11. Changes

This policy may be updated as SquadPulse changes. The effective date at the top of this page will be updated when material changes are published.
